B2B shipping across Europe for mushroom grow kits and truffles

B2B shipping across Europe for mushroom products starts in the Netherlands: Mondo Mycologicals ships grow kits, grow bags, truffles, spores, liquid cultures and grow tools from Purmerend to business partners in other European countries. Within the EU there are no customs duties between member states, and a business with a valid VAT number in another EU country is invoiced without Dutch VAT.

How does a B2B order get from the portal to your door?

Every order starts in the B2B order portal and ends at your business address, with the same steps in between.

1
You order in the portal. Approved partners order at mondoeurope.brincr.com, where their partner prices are shown. Shipping costs and lead times are agreed per partner; ask for them before your first order.
2
The order is picked. Products are collected from stock or production. For living and fresh products, such as grow kits, truffles and liquid cultures, general practice is to keep the time between picking and dispatch short.
3
The order is packed. Fresh products need packaging that keeps them cool in transit; ask how perishables are packed for your destination.
4
The parcel goes to the carrier. Ask when you apply which carrier serves your country and how tracking information reaches you.
5
You receive and check. Unpack perishable products first; the checklist below covers the rest.

What are the lead times and shipping costs?

Lead times and shipping costs are agreed per partner, because they depend on the destination, the size of the order and the products in it. A mixed order with fresh truffles travels differently from a pallet of grow kits.

Lead times can also depend on production. Grow kits, grow bags and truffles are living products that are produced in cycles, so plan larger orders ahead and ask for the current lead time when you apply.

How are fresh truffles and liquid cultures shipped?

Fresh truffles and liquid cultures are perishable, so they need cool storage and fast transit. General practice for perishables is to keep the time in transit short and avoid parcels sitting in a depot over a weekend or a public holiday.

Plan the day of arrival as well as the order

Make sure someone can receive the parcel and put fresh products in a fridge on the day it arrives. A box of truffles that waits overnight in a warm storeroom has lost freshness before it reaches your shelf.

For your own stock management:

  • ☐ Unpack perishable products on arrival and refrigerate them straight away.
  • ☐ Check each batch for damage or signs of spoilage before you sell it.
  • ☐ Rotate stock: oldest first.
  • ☐ Report damaged or spoiled goods to Mondo promptly, with photos.

How long a product keeps after arrival depends on the product; ask for the current storage guidance when you order. The magic truffles and liquid cultures pages explain more about each product.

How do VAT and customs work for EU orders?

Inside the EU single market, goods move between member states without customs duties. According to EUR-Lex, “there are no customs duties at the borders between Member States”. There is no customs declaration for an order from the Netherlands to, for example, Belgium, Germany or Spain.

VAT works through the reverse charge. The European Commission states that if you sell goods to another business and they are sent to another EU country, you do not charge VAT if the customer has a valid VAT number. For you as the buyer, that means the invoice from Mondo shows no Dutch VAT and you account for VAT in your own country. Suppliers check VAT numbers in the EU’s VIES system, so make sure the number in your account is correct and active.

Free movement of goods does not make a product legal everywhere. National rules on psilocybin, truffles, spores and grow kits still apply in the country where you sell. See legal status in Europe before you place a first order for a new market.

Check the law before you ship across a border

Mondo’s legal notice states that buyers outside the Netherlands are responsible for checking their local law. Products can be seized where they are prohibited. This page gives general information, not legal or tax advice; ask your accountant about VAT in your situation.

Can you order for destinations outside the EU?

Ask before you order. Countries outside the EU, such as the United Kingdom, Switzerland and Norway, have their own customs procedures, and import duties or VAT may be charged at the destination. On top of that, local law decides whether the products may be imported at all. Perishable products also face longer transit times when a parcel waits at customs, which affects fresh truffles and liquid cultures most.

Does Mondo ship to your customers directly?

Yes, through dropshipping. You sell in your own webshop, and Mondo ships the order to your customer. How orders are passed on, which products are included and how shipping is charged are agreed per partner. For stock held at your own location, the wholesale shipping above applies. To start, apply as a partner.

Questions about shipping and delivery

Can I combine fresh and non-perishable products in one order?

Yes, you order all product groups through the same portal. Ask how mixed orders are packed and shipped to your country, since fresh products need cool, fast transport.

What if my order arrives damaged?

Document the damage with photos when you unpack and contact Mondo promptly. Do not sell products that arrive damaged or spoiled.

Do I need to register my VAT number?

For an invoice without Dutch VAT, yes. Your VAT number must be valid in VIES and registered in your account before you order.

Can I collect an order in Purmerend?

Ask when you apply. Whether collection is possible is arranged directly with Mondo.

Are shipping costs the same for every country?

No. Shipping costs depend on the destination and the order, and are agreed per partner.
